Overview
The Juno Portal uses role-based access: every user in your hotel's tenant is assigned one role, and that role determines what they can see and do. This article explains the roles you can assign to your own team, what each one is intended for, and where the boundaries between them sit — so you can give each person the right level of access.

What you'll achieve
After reading this, you'll know which of the five customer-assignable roles fits each team member, and what that role will and won't let them do in the Juno Portal.
Before you start
- Make sure you are already registered via Magic Link
- Please be aware, that your Customer Success Manager (CSM) will assign the role to your User
- Some capabilities — Settlement, Reconciliation, Juno Intelligence, and Pay by Link — only become available to a role once the relevant module is switched on for your hotel. Having an eligible role doesn't mean the capability is visible until that module is enabled.
Roles you can have assigned to your user
IT Administrator
Technical administrator for assigned hotels. Manages terminals, Nexus, and device-level configuration. This is not a reporting, settlement, or Pay by Link role.
Operations Manager
Runs day-to-day hotel operations for assigned tenants: transactions, Shift Reports, Shift Settings, and Pay by Link where it's enabled. Does not administer hotel-level financial configuration such as Currency.
Reporting User
Read-only reporting for assigned hotels: view, filter, and export dashboards, transactions, and reports. No operational configuration and no administrative capabilities. Where Pay by Link is enabled, Reporting User can view existing payment links, but cannot create or modify them.
Front Desk User
Read-only operational role for supporting guests: view, search, and filter the Dashboard, Transactions (including transaction search), and Shift Reports (view only). Front Desk User cannot export data, manage devices, configure the hotel, manage users, or perform any other administrative action.
What each role can access
| Role | Scope | Can do | Cannot do |
|---|---|---|---|
| IT Administrator | Tenant-scoped, assignable | Manage terminals, Nexus, and device-level configuration for assigned hotels. | Not a reporting, settlement, or Pay by Link role. |
| Operations Manager | Tenant-scoped, assignable | Manage day-to-day operations for assigned hotels: transactions, Shift Reports, Shift Settings, and Pay by Link where it's enabled. | Cannot administer hotel-level financial configuration such as Currency. |
| Reporting User | Tenant-scoped, assignable | View, filter, and export dashboards, transactions, and reports. Can view existing Payment Links where Pay by Link is enabled. | No operational configuration, no administrative capabilities. Cannot create or modify Payment Links. |
| Front Desk User | Tenant-scoped, assignable | View, search, and filter the Dashboard, Transactions (including transaction search), and Shift Reports (view only). | Cannot export data, manage devices, configure the hotel, manage users, or perform any other administrative action. |
Refund Transactions and Void Transactions are planned capabilities — they appear in the Portal's permission model but aren't available to any role yet.
Juno Intelligence (Ask Juno, Operational Alerts, Transaction Intelligence, Terminal Intelligence, Recommendations) depends on your hotel's commercial entitlement as well as role — some of these features require a specific commercial add-on, and some require Premium Intelligence, regardless of which role a user holds.
Expected result
After the role is assigned by CSM, please sign in and check that you see only what's described for that role above — for example, a Front Desk User should see the Dashboard, Transactions, and Shift Reports (view only), with no export or configuration options. If they see more or less than expected, double-check the role assigned to their account.
